PURPOSE

To ensure the accurate and up-to-date representation of properties managed across all listing platforms. This policy aims to enhance guest satisfaction, maximize occupancy rates, and maintain the company's reputation for excellence in property management.

SCOPE

This policy applies to all properties and encompasses the activities related to updating and maintaining listings on various platforms including but not limited to Airbnb, Booking.com, VRBO, and any other relevant platforms.

DEFINITIONS

Term Description
Listing A property advertisement or profile published on various online platforms.
Update Any modification or revision made to a listing including changes in property information, pricing, availability, photos, or descriptions.
Maintenance

Ongoing monitoring and upkeep of listings to ensure accuracy, relevance, and optimal performance.

 

ROLES AND RESPONSIBILITIES

Responsible Description
Listing Admin Responsible for updating the listing in all platforms.
Customer Service Representatives Responsible for addressing guest inquiries and feedback related to listings and forwarding any necessary updates to the Listing Team.
Content Writers/Photographers Responsible for creating engaging and accurate descriptions, uploading high-quality photos, and ensuring consistency across all listings.
Project Manager Responsible for providing accurate information about properties and promptly notifying the Listing Admin of any changes.
Listing Supervisor Responsible for overseeing the implementation of this policy, coordinating listing updates, and ensuring compliance with standards.
IT/Technical Support Responsible for resolving any technical issues related to listing platforms and ensuring smooth integration of data.

POLICY

  1. Initial Listing Setup: Upon onboarding a new property, the Listing Supervisor/Admin will ensure that a comprehensive listing is created with accurate details, high-quality photos, and engaging descriptions on all relevant platforms.
  2. Regular Review: Listing Admin will conduct regular reviews of listings to ensure that information such as pricing, amenities, and policies are up-to-date and accurate.
  3. Prompt Updates: Any changes to property details (e.g., renovations, upgrades, amenities), pricing, availability, or policies must be promptly communicated to the Listing Supervisor/Admin for immediate update across all listing platforms.
  4. Content Optimization: Content Writers/Photographers will periodically review and optimize listing descriptions and photos to maintain relevance and attract potential guests.
  5. Technical Support: IT/Technical Support will be available to troubleshoot any technical issues with listing platforms and ensure smooth data integration.
  6. Feedback Integration: Customer Service Representatives will collect guest feedback and forward any relevant suggestions or complaints to the Listing Supervisor/Admin for necessary updates or improvements to listings.

POLICY REVIEW:

This policy is subject to periodic review and revision to ensure it remains current and effective in protecting the integrity of Deluxe Holiday Homes properties.
