PURPOSE

The purpose of this policy is to establish guidelines and procedures for the listing, management, and maintenance of properties owned by landlords and managed by Deluxe Holiday Homes to ensure consistency, quality, and compliance with relevant regulations and standards.

SCOPE

This policy applies to all landlords who have engaged Deluxe Holiday Homes for property management services, as well as to all personnel involved in the listing, marketing, maintenance, and revenue management.

ROLES AND RESPONSIBILITIES

Responsible Description
Landlords Responsible for providing accurate information about their properties, adhering to contractual agreements, and collaborating with Deluxe Holiday Homes to optimize property performance.
Owner Support Team Responsible for facilitating the onboarding process, providing necessary resources and support, and ensuring effective communication with landlords throughout the partnership.

POLICY

  1. Listing Process:
    • Define the criteria and requirements for properties to be listed under Deluxe Holiday Homes management.
    • Outline the procedures for property assessment, including inspections, photography, and documentation.
    • Specify the process for pricing determination and agreement negotiation with landlords.
  2. Marketing and Promotion:
    • Detail the marketing strategies and channels utilized to promote listed properties to potential renters.
    • Establish guidelines for property presentation, including property descriptions, photographs, and virtual tours.
    • Define the procedures for responding to inquiries and scheduling property viewings.
  3. Tenant Selection and Screening:
    • Outline the criteria and procedures for tenant application review and screening.
    • Specify the process for conducting background checks, credit checks, and rental history verification.
    • Establish guidelines for communicating application decisions to landlords and tenants.
  4. Lease Agreement and Documentation:
    • Detail the standard lease agreement terms and conditions used for renting listed properties.
    • Specify the process for lease agreement execution, including signature collection and documentation.
    • Define the procedures for lease renewal, termination, and any associated fees or penalties.
  5. Property Maintenance and Inspections:
    • Establish maintenance standards and schedules for ensuring the upkeep and safety of listed properties.
    • Outline the procedures for conducting regular inspections and addressing maintenance issues promptly.
    • Specify the process for coordinating repairs, renovations, and improvements with landlords and contractors.
  6. Financial Management:
    • Detail the procedures for collecting rental payments, security deposits, and other fees from tenants.
    • Specify the process for disbursing rental income to landlords and reconciling financial transactions.
    • Establish guidelines for handling disputes related to rental payments, refunds, and deductions.
  7. Compliance and Legal Obligations:
    • Outline the legal and regulatory requirements that landlords and properties must adhere to.
    • Specify the procedures for ensuring compliance with local laws, building codes, and homeowner association rules.
    • Establish guidelines for handling legal disputes, evictions, and other tenant-landlord matters.
