Business Development Policy Document
Purpose
This document outlines the policies and procedures for Business Developers (BDs) at Deluxe Holiday Homes to ensure compliance with company standards and maintain high-quality service.
General Policies for Business Developers
Contract Closure
Contract closure includes onboarding formalities handled by the Business Development (BizDev), such as assisting the landlord with property furnishing or purchasing missing furniture items.
A contract cannot be considered closed until the contract is signed and the property is ready and onboarded.
Onboarded & Ready Property Definition
A ready property is fully furnished and equipped, meeting DTCM and Operator standards for rental. Ready property should be handed over to the Operator in vacant condition, with keys/access cards, unit permit obtained from DTCM, service charges all paid UTD, all utilities connected and all systems inside the house operational.
Main Contact for Landlords
When required, the BD is responsible for managing their portfolio and serving as the main contact for landlords after the contract is signed.
Mandatory Information Disclosure
BDs must inform the Operator in advance about:
- Landlord's intention to sell or rent the property.
- Landlord's intention to occupy the property or sell after a certain timeframe.
- Specific or expensive items inside the property.
- Any outstanding dues affecting guest access to facilities.
- Accurate landlord contact information.
- Detailed explanation of important clauses in the Agreement to the landlord.
Onboarding Form Completion
BDs must complete the Onboarding Form and provide accurate information when bringing new properties onboard and provide all necessary information to the team.
Deduction of Missing Items
If the cost of requested deductible items exceed AED 5,000, manager's approval is required before confirming to the Landlords.
Regular Communication
BDs are responsible for regularly contacting the landlord to pass on information from the Operator/team and obtain approvals for quotes.
General Manager Notification
BDs must inform the GM if any clause in the Property Management Agreement contains custom clause before sending for signature.
BDs must only use forecasts generated by company's revenue generator (or provided by Revenue Manager).
Work Hours
BDs must work from 9am to 6pm unless reasonably justified absences occur, such as client meetings or work-related matters.
Commission Withholding
The Operator reserves the right to withhold commission for onboarded properties with policy violations or deduct amounts retrospectively already paid.
Conflict of Interest
BDMs are prohibited from engaging in any business activities or providing leads, company information, or trade-related information to any other party that may conflict with the interests of the Operator.
Property Listing Restrictions
Property landlords should be informed that they cannot list their property for short-term OR long-term rent with other companies while managed it is managed by Deluxe Holiday Homes.
Property Viewings for Long-Term
For properties listed for sale, landlords must fill out a form for each viewing. Complimentary viewings require exclusive listing with Deluxe Homes Real Estate Broker.
By adhering to these policies, Business Developers will help ensure the seamless onboarding of properties and maintain the high standards expected by Deluxe Holiday Homes.
Penalties for Non-Compliance
Any individual who performs or accepts the following actions during or after onboarding without the General Manager's (GM) personal written approval will face an immediate, non-negotiable penalty of AED 10,000, charged from existing and future commissions/incentives:
Action List:
Bed Linen:
Taking or accepting bed linen, towels, bath mats, or similar items from the landlord side.
Making exceptions fully or partially.
Bed linen/towels of all sorts shall always be sourced through our own centralized system.
DTCM Required Items:
Skipping any item required by DTCM regulations.
Listing Incomplete Property:
Listing (or pushing other staff to list) a property online before it is marked as fully ready by the Coordinator.
Renting Incomplete Property:
Renting (or pushing other staff to rent) a property not marked as fully ready by the Onboarding department.
False Information:
Providing false information to other departments (e.g., BD providing false information or pictures to onboard a property, Inspector providing incorrect inspection lists, or Inspector skipping required items).
Not Informing Landlords:
Failing to inform landlords about:
- True/reasonable forecast amounts.
- Housekeeping, maintenance, and other procedures.
- Payment breakdown and proper amounts landlords will receive.
- Their responsibilities for utilities, maintenance, and service charges.
- Their responsibilities related to no owner stays during onboarding process, removing personal and expensive items, etc.
Other Reasons:
Failing to inform the company of any verbal agreements or notices from landlords regarding specific operations (e.g., maintenance work by a specified company, payout date requests, pending service charges).
Falsifying deals to be referred from non-genuine referrals or agents with intention.
